How to Set Up Talkroute for Your Ecommerce Store (2026 Step-by-Step Guide)

Talkroute takes about an hour to set up, and most of that hour is spent on four decisions: which number you use, where calls ring, what callers hear, and what happens after hours. Get those right and a caller about to spend $4,000 hears a real business. Get them wrong and they hear a robot asking them to press 1 on your personal cell.

I run Ecommerce Paradise and a high-ticket store of my own, and I have set up phone systems for a lot of stores. This guide follows Talkroute’s own help center, which I went through on 22 September 2026, and it tells you which plan each step needs, because several of the features people expect on the $19 plan are not on it.

Before You Start: What Talkroute Needs From You

Talkroute’s requirements page is strict about signup, and it catches out store owners who live abroad. To activate an account you need a US or Canadian credit or debit card with a matching billing address, a 10-digit contact phone number, and an email address. Prepaid cards are not accepted, all charges are in US dollars, and you cannot use a VPN or proxy while activating the account or updating payment details.

I run my business from Bali, so this matters to me. If you are outside the US, sign up with your US business card and billing address, and switch your VPN off for the signup. Talkroute says it is designed primarily for use in the US and Canada, and that its desktop and web apps “may work” from other locations. Talkroute’s own FAQ recommends that people running a US business from outside North America book a sales demo first, and it warns that extra cardholder verification may be needed after activation. Either way, test calls from wherever you actually work during the trial, before you pay.

There are no setup, connection or activation fees. You pay the monthly plan plus any add-ons, and texting registration if you text from a local number.

Step 1: Start the Trial and Pick the Right Plan

Talkroute has three self-serve plans. Basic is $19 a month for 1 user and 1 number, Plus is $39 for 3 users and 2 numbers, and Pro is $59 for 10 users and 3 numbers. Extra users and extra numbers are $5 a month each. The full breakdown, including what taxes and fees are included, is in my Talkroute pricing guide.

For setup purposes, the plan decides what you can build. Basic has no call menu and no hours of operation, so every call simply rings your phones. Plus adds 1 call menu, hours of operation, Ring All and live call transfer. Pro adds more menus, call recording, forwarding schedules per person, reporting and Voice Studio.

If you want a “press 1 for sales” menu, start on Plus. Most high-ticket stores should.

The trial lasts 7 days. If you do not cancel before it ends, the account converts to a paid plan and your card is charged. Talkroute does not issue refunds after the trial, so do the whole setup in this guide inside those 7 days.

Step 2: Choose a Local or Toll-Free Number

Talkroute offers local US and Canadian numbers and toll-free numbers. Most numbers activate within 30 minutes of being added, though vanity or custom numbers can take 1 to 3 business days.

If you already have a business number, choose the “Keep Your Existing Number” option at signup. Talkroute gives you a temporary number for the trial, and you port your real one afterwards (Step 10).

Local or toll-free is mostly a texting decision. Local numbers need 10DLC registration, which costs $19 on Basic and $15 on Plus and is included on Pro. Toll-free numbers go through a separate toll-free verification, which Talkroute does not charge for. A toll-free number also suits a store that sells nationally. The one catch Talkroute flags is that calls between two toll-free numbers can fail, because of how toll-free billing works, so if you call a lot of suppliers on 800 numbers, add a local number too.

While you are here, open a support ticket to set your caller ID name. Talkroute will set the name that shows on outgoing calls to your business name, up to 15 characters, and it takes 2 to 4 weeks to spread across the phone networks. Not every carrier displays names, and Talkroute cannot set one for Canadian numbers. Start it early.

Step 3: Record Your Greetings

Go to Settings and Preferences (the gear icon), then Greetings and Music on Hold, and click Add Audio File. You can record with your microphone or upload a file. Give it a description and a category, such as Welcome Greeting or Voicemail Greeting, and save.

One thing trips people up here: a new audio file is not live until you select it where it plays, on the phone number, the menu or the voicemail box. Save it, then go and assign it.

For a high-ticket store, keep the welcome greeting short and specific. For a sauna store, something like: “Thanks for calling, you have reached our sauna specialists. For help choosing a sauna, press 1. For an existing order, press 2.” Name the product category and use your store name, because it tells a nervous buyer they reached a specialist, not a call center.

On Pro, Voice Studio gives you 5 professionally voiced clips from a submission form, with extra clips at $20 each. On Basic and Plus, record it yourself in a quiet room. It is fine.

Step 4: Set Where Calls Ring

In Settings, open Phone System, then Call Routing, then Virtual Phone Numbers, and click the gear next to your number. Pick the welcome greeting, then under “Choose where to route incoming calls” select Go to Users and Numbers.

Now pick a ring strategy. Ring In Sequence rings each person or phone one at a time, in the order you drag them into, with a ring time per device and a number of retries. Ring All, on Plus and above, rings up to 10 phones or users at once, and the first to answer gets the call. For a sales line, Ring All is usually right, because a buyer should never wait while the system works through a list.

For Ring All, set the maximum hold time. For either strategy, set the end destination, which is where a caller goes if nobody answers: a voicemail box, a call menu or a disconnect. Always choose voicemail. A disconnected call on a $3,000 order is a lost sale.

You can ring two kinds of destination. Forwarding numbers are any US, Canadian or toll-free phone, such as your cell. Desktop users take calls in the Talkroute desktop or web app. Note that calls cannot be routed to the mobile app directly. If you want your cell to ring, add your cell number as a forwarding number.

When a forwarded call reaches your cell, Talkroute plays “Press 1 to accept, or 2 to reject” before connecting you. This Call Announce feature is on by default, and Talkroute itself suggests turning it off if you forward to a reliable phone like your own cell, for a faster connection. I leave it on anyway: it stops a caller landing in your personal voicemail, and it tells you the call is a business call before the caller is connected.

Step 5: Build Your Call Menu (Plus and Up)

Go to Settings, Phone System, Call Routing, then Menus. Plus includes one default menu, and Pro lets you add more. Each menu can have up to 10 options, numbered 0 to 9.

Set the menu name and the audio file callers hear, then do the step Talkroute’s own guide flags as important: assign at least one phone number to the menu. If you skip it, callers never reach the menu. You can tick the number under Virtual Number Assignment in the menu settings, or set the number itself to Go to Other Destination, then Go to a Menu.

Then add options. Each one can ring users and numbers (with its own ring strategy), send the caller to a voicemail box, play a message, or go to another menu. Options on your first menu also get transfer codes, 0001, 0002 and so on, which you use for live transfers.

Here is the menu I set up for high-ticket stores:

Key Option Routes to
1 Help choosing a product Ring All: owner and salesperson
2 Existing order or delivery Ring In Sequence: VA first, then owner
3 Trade or bulk quote Owner, then a dedicated voicemail box
0 Repeat the options Same menu

Keep it to 3 options. Every extra option is another few seconds a buyer spends listening instead of talking to you.

Step 6: Set Hours of Operation (Plus and Up)

In Settings, open Hours of Operation and click Add Time Slot. Choose the days (every day, Monday to Friday, weekends or a custom range), set the start and end times, and save. You can add several slots to the same day. If your hours run past midnight, Talkroute says to create two slots: one ending at 11:59 PM and one starting at 12:00 AM.

Then click the gear next to Add Time Slot to set what happens when you are closed: an after-hours audio file, and a destination of a voicemail box, a menu or a disconnect. You can also send after-hours callers to a menu instead of straight to voicemail. An after-hours menu is a second menu, and Talkroute’s current guide says multiple menus need Pro, so on Plus keep it simple and send after-hours calls to voicemail.

For holidays or a day you are travelling, open the Manager section of the Talkroute control panel and click Override Business Hours under Welcome to force the system open or closed without touching your normal schedule.

Step 7: Voicemail Transcription and Email

Go to Settings, then Voicemail, and click the gear next to your mailbox. Tick Show Voice Message Transcripts, and tick Show Transcripts in Email as well. Then enter your address in the Voicemail to E-Mail field.

Each notification arrives with the recording attached as an .m4a file and the transcript in the email. To send it to several people, use an email distribution group. And add voicemail@talkroute.com to your approved senders, because Talkroute’s own guide warns that email clients can block the attachments or send them to spam.

This is the setting that makes the biggest difference to sales. You can read a voicemail on your phone in 5 seconds and call back within minutes.

Step 8: Enable and Register Texting

Texting has to be switched on for each number, and it usually activates within an hour, with up to 1 to 3 days for full delivery across carriers. Then register it. Talkroute says registration is not technically required to start texting, but without it your messages are more likely to be filtered or blocked, and carriers have been filtering unregistered local numbers much harder since February 2025. If you port in an existing local number, Talkroute’s porting guide says you need an approved 10DLC registration before you can send from it.

Local numbers register through the A2P 10DLC system run by The Campaign Registry, which links your business and your texting use case to your number. Twilio’s A2P 10DLC documentation is the clearest explanation of how it works. Talkroute charges $19 on Basic and $15 on Plus for local registration, included on Pro, plus $1.50 a month on Basic only. Toll-free numbers use toll-free verification instead, with no fee. Talkroute says 10DLC approval typically takes a few business days to a week, and toll-free verification averages 1 to 2 weeks, so register on day one.

Know your limits before you text customers. Basic includes 500 texts a month, Plus 2,000 and Pro 5,000, shared across the plan, and incoming texts count toward the limit as well as outgoing ones. Long messages are split into segments that each count as one text, and each picture message counts as 3.

Step 9: Install the Apps and Set Your Caller ID

Download the desktop app from talkroute.com/downloads for Windows, Mac or Linux, or use the web app in Chrome or Firefox. The mobile apps are on iOS and Android. Phone system settings are managed from the desktop and web apps, not the mobile app.

The mobile app needs cellular service with a US or Canadian number to make calls, but you can still see history, messages, voicemail and meetings without one. Calls you place from the mobile app show your Talkroute number, not your personal cell, which is the whole point.

Test it before the trial ends: call your own cell from the app, check which number and name appear, and ask a friend to call your Talkroute number and pick each menu option.

Step 10: Port Your Existing Number

Porting moves your existing number to Talkroute. The FCC’s guide to keeping your number explains your rights when you switch. Talkroute does not charge to port local or toll-free numbers, though your old carrier may charge a port-out fee, and numbers beyond your plan’s allowance are $5 a month each.

There are two catches. Port requests can only be submitted from a paid account, and submitting one during the trial ends the trial. So port once you have decided to keep Talkroute.

To start, log in to the Talkroute control panel (cp.talkroute.com), open the Manager tab, and under Virtual Phone Numbers click Add / Port Phone Number. Enter the number and your current carrier, click Port Number, then review and accept the porting terms to submit the request. Talkroute reviews port requests within 24 to 48 hours during weekday business hours and emails you. You then sign a Letter of Authorization and provide a recent phone bill, and every detail on the letter has to match what your carrier has on file, including the account number and any port-out PIN.

Talkroute’s FAQ says most ports finish within 3 to 5 business days, while its main porting guide gives a range of up to 10 business days, and 1 to 4 weeks for manual ports or rejected requests. Your number keeps working with your old carrier until the port completes, and texting on the ported number can take another 1 to 3 business days to activate. Keep the old service active until Talkroute confirms the port is done.

Step 11: Turn On Call Recording (Pro)

On Pro, open the phone number’s settings and switch Call Recording on. Incoming and outgoing calls are then recorded, and callers first hear Talkroute’s default recording notice, which you can replace with your own audio file. Recordings sit in call history, where you can play, download or delete them.

Talkroute recommends following two-party consent rules, so keep the recording notice on. For high-ticket sellers this is worth the upgrade on its own. If a customer later disputes what they were told about delivery, installation or returns on a $5,000 order, you have the call.

Connect Talkroute to the Rest of Your Store

Talkroute’s Zapier integration, which Talkroute still labels as beta, can send completed call data, text messages and new voicemail notifications to other apps, on every plan. Two Zaps I would set up on day one: log every completed call to a Google Sheet, so you can see call volume by day, and post new voicemails to Slack, so whoever is on shift sees them. There is also an API and webhooks if you have a developer.

Common Setup Mistakes

  • Building a menu and never assigning a number to it. The menu exists but callers never hear it.
  • Uploading a greeting and not selecting it. New audio files are not live until assigned.
  • Ending on disconnect. Always send unanswered and after-hours calls to voicemail.
  • Porting during the trial by accident. It ends the trial and starts billing.
  • Texting without registering. Messages are more likely to be filtered, so customers may not see your order updates.
  • Signing up on a VPN from abroad. Talkroute does not allow a VPN or proxy during activation.

Is Talkroute the Right Phone System for You?

Talkroute suits a small team that wants a simple bill with taxes included and no contract. If you mainly want call recording and call summaries on a budget, read my Talkroute vs Grasshopper comparison first, because Grasshopper includes recording on its Solo Plus plan ($25 a month billed annually, $32 month to month). For the full picture, my Talkroute review covers the features and the trade-offs.

If you are still deciding why you need a business line at all, the short answer is suppliers. Brands check that they are dealing with a real business before they approve you, which I cover in how to get a business phone number suppliers will accept. The full outreach process is in my step-by-step supplier guide.

The company side, from forming the LLC to the EIN suppliers ask for, is in my business formation guide. If you have not picked a niche yet, start with the high-ticket niches list.

Frequently Asked Questions

How long does it take to set up Talkroute?
Talkroute says most new accounts are set up in less than 60 minutes. Some numbers take several hours to activate, and you can configure the rest of the system while you wait. Talkroute also offers a free setup call.

Can I have a call menu on the Basic plan?
No. Call menus and hours of operation start on Plus at $39 a month. Plus includes 1 menu, and Pro includes unlimited menus.

Does it cost anything to port my number to Talkroute?
Talkroute does not charge standard porting fees for local or toll-free numbers. Your current carrier may charge to release the number, and numbers beyond your plan’s allowance are $5 a month.

How long does porting take?
Talkroute says usually 3 to 5 business days, with its porting guide allowing up to 10 business days, and 1 to 4 weeks for manual ports or rejections. Your number keeps working with your old carrier until then.

Can I use Talkroute from outside the US?
Partly. You need a US or Canadian card and billing address to sign up, with no VPN during activation. Calls can only be forwarded to US, Canadian or toll-free numbers, and Talkroute says its desktop and web apps may work outside the US and Canada but only officially supports those two countries.

Do I have to register to send texts?
Talkroute says registration is not required to start, but unregistered texts are more likely to be filtered or blocked. Local numbers use 10DLC registration and toll-free numbers use toll-free verification.

Why do my calls say “press 1 to accept”?
That is Call Announce, which is on by default for forwarded calls. It lets you accept or reject the call and stops callers reaching your personal voicemail. Talkroute lets you disable it if you would rather calls connect as soon as you pick up.
